Imaging Associates
Imaging Associates is a progressive and premium provider of radiology services, owned and operated by a team of highly respected Radiologists.
With clinics located across Melbourne, Gippsland and Wagga Wagga, and more opening throughout the coming months, we are expanding our Central Booking team based at our Box Hill Support Office.
We are currently seeking a Medical Imaging Receptionist to join us on our growth journey. This is a non-patient-facing role, where you will play an important part in supporting our patients over the phone and ensuring they receive the smooth, compassionate experience Imaging Associates is known for.
What will you be doing?
As a member of our Central Booking team, you will be one of the first points of contact for patients looking to access our medical imaging services.
Based at our Box Hill Support Office, you will manage inbound calls, assist patients with appointment bookings and enquiries, and work closely with our clinic teams to ensure patients receive a smooth and positive booking experience.
You will also have the opportunity to assist our clinics in a patient-facing Medical Receptionist capacity, providing variety and the chance to further develop your medical administration skills.
Whether you have previous medical administration experience or come from a contact centre, customer service or hospitality background, we welcome applications from people with the right attitude and a genuine passion for helping others.
Key responsibilities include:
- Handling high-volume inbound calls and responding to patient enquiries in a calm, professional manner.
- Scheduling, rescheduling and cancelling medical imaging appointments across multiple clinic locations.
- Providing accurate information about imaging procedures, preparation requirements, appointment availability and clinic locations.
- Identifying patient needs and ensuring bookings are made in accordance with relevant booking guidelines and clinical requirements.
- Managing patient enquiries, follow-ups and call transfers to the appropriate teams when required.
- Maintaining accurate patient information and appointment records across multiple systems.
- Communicating and collaborating with clinic reception teams and other departments to support efficient patient workflows.
- Delivering a consistently high standard of customer service while balancing call volumes, booking targets and service expectations.
What are we looking for?
To be successful, you will need to have:
- Previous medical administration or contact centre experience (highly regarded).
- Strong customer service and communication skills.
- The ability to remain calm and organised when managing competing priorities and high call volumes.
- A proactive approach to problem-solving and the ability to work both independently and as part of a team.
- A high level of attention to detail and commitment to quality outcomes.
- Confidence with technology and the ability to navigate multiple systems while speaking with patients.
- Flexibility to work across a rotating roster between 8am and 6pm, Monday to Friday.
As a valued team member, you can look forward to:
- Being part of a progressive and growing business.
- An experienced, passionate and supportive team driven by providing quality and excellence in imaging services to our patients.
- A tailored induction and genuine focus on professional development to help you progress your career.
- A rewarding role and the chance to make a difference in the lives of our patients.
If you're passionate about delivering exceptional customer service, thrive in a fast-paced and supportive team environment, and are eager to make a meaningful impact in healthcare, we'd love to hear from you!
